Reception Volunteer - Robin House, Balloch

Reception Volunteers support the Administration Team with the smooth running of the hospice reception. This includes welcoming visitors and undertaking a range of administrative tasks such as typing, opening mail and photocopying.

Reception volunteers are often the first point of contact for children and families, so a friendly, warm response at the end of the phone or in person can help to make a big difference to their stay and overall experience of CHAS. Additionally, supporting the Admin Team with administration tasks helps to ensure the post goes out on time, filing is up to date and paperwork is managed appropriately. These tasks are so valuable and contribute to the smooth running of the hospice.

We are looking for friendly, enthusiastic volunteers who will provide a warm and reassuring welcome to families and visitors.


What you will be doing



  • Welcoming visitors, staff and families to the Hospice

  • Answering the telephone and relaying messages, making calls when appropriate

  • Opening and recording incoming mail and dealing with outgoing mail in accordance with office procedures.

  • Computer work such as inputting data on spreadsheets, printing labels, typing rotas, checking emails

  • Photocopying, scanning and filing

  • On occasion, supporting other teams with tasks

  • Welcoming visitors who wish to make a donation: counting the donation and logging it via office procedures

Disclaimer
This role requires membership of the Protection of Vulnerable Groups Scheme (children only). There is a simple form to complete and we will assist you with this. You may already be a member of the scheme – if so you will only need to complete an update form. The process won’t cost you anything and having a criminal record will not automatically exclude you from volunteering. We will assess each applicant on an individual basis.  Further Child Protection training (either online or face to face, approximately 3 hours in length) is mandatory for this role, to be completed within the first year of volunteering with us.


Experience required


  • Excellent customer service skills

  • An outgoing and friendly personality

  • Good administrative skills

  • A sensitive approach to receiving and passing on personal information pertaining to children and families

  • An ability to relate to people of all ages

  • Adhere to rules around GDPR and a strong understanding of confidentiality

  • An ability to represent CHAS enthusiastically and appropriately

  • Experience of using Microsoft packages such as Word, Excel, Teams would be beneficial

It’s important to us that you feel happy, safe and confident in your role. As a CHAS volunteer you will be invited to complete a short core learning package that is tailored to your role.
We are always developing new opportunities for volunteers to learn and offer a range of options for volunteers.

Volunteers (aged 16-25) taking part in this opportunity are eligible to claim Saltire Awards hours for their activity.
