The Secretary MUST attend meetings in person or online.
· Support the Chairperson or Vice-chairperson to ensure the smooth running of the group and to maintain effective communication links between the committee and SAAM members/third parties.
· Ensure meetings are well-organised and maintain accurate records of meetings.
· Inform all SAAM members of the dates/times of Committee Meetings with adequate notice.
· Arrange venue for meetings as necessary and/or obtain online meeting link and distribute.
· Call for agenda items from SAAM members, discuss and agree agenda with Chair/Vice-Chair and distribute Agenda to all members in advance of the meeting.
· Take minutes during meetings, compile minutes along with any decisions taken and actions. Submit draft minutes to Chair/Vice-Chair for approval and then distribute to all SAAM members.
· Maintaining accurate membership records and sending out reminders when fees are due. Liaising with the Treasurer to ensure fees are paid and accounted for.
· Ensure the constitution and any policies/procedures are kept up to date.
· Handle electronic (email) and paper-based communications and correspondence and ensure that all items are passed to/actioned by the relevant committee member(s) as necessary.

Availability
Volunteers (aged 16-25) taking part in this opportunity are eligible to claim Saltire Awards hours for their activity.
