Secretary

Bathgate Street Aid is seeking a passionate and dedicated individual to join our team as Secretary. This voluntary role is critical in ensuring the smooth and organized operation of our charity, which provides first aid and welfare support to vulnerable individuals in Bathgate town centre. As a key member of the board of trustees, the Secretary will be instrumental in maintaining clear documentation, records, and communications, enabling us to advance public health, save lives, and provide immediate relief to those in need.

In this role, you will oversee the charity’s administrative tasks and organizational responsibilities. You will work closely with other board members to schedule meetings, prepare agendas, and accurately record and circulate minutes. The Secretary will also manage correspondence and ensure compliance with legal and regulatory requirements, contributing to the long-term sustainability and success of Bathgate Street Aid.

The ideal candidate for this role will receive a basic laptop for use in fulfilling their responsibilities. This device will be provided for the purposes of the charity only and will come equipped with Microsoft Office and antivirus protection, ensuring you have all the necessary tools to effectively manage and document the charity’s administrative and governance-related operations.


PVG Requirement
All volunteers with Bathgate Street Aid must undergo a Protecting Vulnerable Groups (PVG) check as part of the recruitment process. The cost of this check is a one-time expense to be covered by the volunteer.

Experience required

Experience in administrative tasks, record-keeping, or office management (preferred but not essential).

Familiarity with scheduling and managing meetings, including preparing agendas and circulating minutes.

Knowledge of or willingness to learn about charity governance, compliance, and documentation requirements.


Proficiency in using typical office software (e.g., word processors, spreadsheets) for record-keeping and correspondence.


Previous experience working with or volunteering for a charity, non-profit, or community group (desirable but not essential). This is a fantastic opportunity to gain your first experience in the non-profit sector and make a real difference in your community.


Strong organizational skills with excellent attention to detail and accuracy.


Good written and verbal communication skills, and the ability to communicate clearly with fellow trustees and external contacts.


Ability to work collaboratively as part of a team
