Volunteer Events Assistant

Volunteering details

The Volunteer Events Assistant plays a crucial role in supporting the successful execution of our organisation's events, which are integral to achieving our mission and fostering community engagement. This volunteer role is designed to provide essential assistance in all stages of event planning and execution, ensuring that each event runs smoothly and effectively. By contributing to the operational aspects of our events, the Volunteer Events Assistant helps to create memorable and impactful experiences for our attendees.

EVENT PROMOTION
• Help with the distribution of promotional materials, including flyers, social media posts, and email campaigns.

ON-SITE EVENT SUPPORT
• Set up event spaces, including arranging tables, chairs, signage, and decorations.
• Welcome and register event attendees, providing them with information and assistance as needed.
• Help with taking photographs at the event to add to Haemophilia Scotland’s media library.
• Talk to attendees to make them feel welcome.


POST-EVENT ACTIVITIES
• Assist with the pack-down and clean-up of event spaces.
• Participate in post-event debriefs, providing feedback and suggestions for future improvements.
• Help with the collection and analysis of event feedback from attendees and volunteers.


ADMINISTRATIVE DUTIES:
• Maintain event databases and contact lists.
• Prepare and organize event materials, such as name tags, programs, and agendas.
• Support with general office tasks as required, including answering phones, responding to emails, and filing documents.


Experience required

• Good interpersonal, communication and organisational skills.
• Creativity, reliability and attention to detail.
• Ability to commit to at least one event per year.
• Ability to work as part of a team.
• Intermediate level of English – or above.

Travel expenses

Volunteer roles are unpaid, but we will reimburse out of packet expenses, including travel at public transport rates or via car if it is not practicable to use public transport. The cost of meals will be reimbursed if provision is not made at the event you are attending.

Transport rates per mile: Car/Van 45p; motorcycle 24p; bicycle 20p, passenger 5p.
Subsistence rates (where no meal provided at the event) £4.50 for lunch and £12.50 for more than 10 hours absence from home.

Frequency & commitment
Volunteers are asked to commit to at least one event per year. Our events are typically hosted on Saturdays and range from anywhere between 4 hours to 8 hours, excluding travel time.

Volunteers (aged 18-25) taking part in this opportunity are eligible to claim Saltire Awards hours for their activity.
