Volunteer Assistant Secretary

We are seeking a volunteer to join our Community Moorings team as assistant secretary. This role is crucial to the smooth running of the charity and provides an opportunity to make a significant contribution to our community.

Community Moorings owns two acres of land next to the Union Canal near Linlithgow. We rent out moorings to canal boaters (we currently have six canal boats renting from us) We are also in the early stages of developing our land next to the canal, not only as a place for canal boat users, but also one that can benefit our local community. We are going to grow vegetables this coming season and want to sell them as well as donate to food banks. We plan on organising community events - for example, next autumn we plan on selling pumpkins and will welcome the local community to our site for autumnal activities. We also hope to have animals on our site, perhaps ducks, chickens, donkeys. We believe this will add to the site's community appeal.
We have lots of exciting plans and need an organised individual on board to help us execute these and carry out the necessary behind the scenes administration.

Some examples of Key Responsibilities:


Minute Taking:


-Accurately record minutes of Community Moorings Scotland meetings (committee meetings, AGM.).
-Distribute minutes to all attendees and archive them securely.


Correspondence:


-Draft and send letters, emails, and other correspondence as directed by the Chair or Committee.
-Respond to inquiries from members and the public in a timely and professional manner.


Record Keeping:


-Maintain accurate and up-to-date records of charity membership, finances, and other relevant information.
-Assist with the preparation of annual reports and other statutory documents.


Administrative Support:


-Provide general administrative support to the Chair and Committee as needed, including scheduling meetings, booking venues, and preparing agendas.
-Assist with the organisation of charity events and fundraising activities


Time Commitment:


-Typically, a few hours per week.

Experience required

-Good written and verbal communication skills

-Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
