Volunteer Office Administrator

The Volunteer Office Administrator will play an important role in supporting the smooth running of Haemophilia Scotland’s office. You will assist the team with a range of administrative tasks that ensure our services, events, and campaigns operate efficiently. Your contribution will directly support people living with bleeding disorders across Scotland.

Specific Tasks:
• Provide general administrative support, including answering phone calls, managing emails, and responding to enquiries.
• Assist with data entry, maintaining accurate records in databases, and filing paperwork.
• Support the coordination of meetings, taking minutes, and helping with event logistics.
• Help manage office supplies, ensuring materials are stocked and ordered when necessary.
• Support the team with mailing campaigns, including the distribution of newsletters and event invitations.
• Update and maintain organisational documents and spreadsheets as needed.
• Assist with financial administration tasks, such as processing expense claims and handling invoices (with guidance from the finance team).
• Contribute to maintaining a welcoming and organised office environment.

Experience required

• Organisation: Ability to manage multiple tasks efficiently and maintain a structured and organised work environment.
• Attention to Detail: Precision in data entry, record-keeping, and handling correspondence. • Communication: Strong verbal and written communication skills, with the ability to engage professionally with staff, volunteers, and external stakeholders.
• IT Literacy: Basic computer skills, including proficiency in Microsoft Office (Word, Excel, and Outlook) and comfort using email and databases.
• Reliability: Consistent, dependable, and able to complete tasks within agreed timeframes.
• Teamwork: Willingness to work collaboratively with the Haemophilia Scotland team and other volunteers.
• Confidentiality: Ability to handle sensitive information with care and discretion.

Travel expenses

Volunteer roles are unpaid, but we will reimburse out of packet expenses, including travel at public transport rates or via car if it is not practicable to use public transport. The cost of meals will be reimbursed if provision is not made at the event you are attending.

Transport rates per mile: Car/Van 45p; motorcycle 24p; bicycle 20p, passenger 5p
Subsistence rates (where no meal provided at the event) £4.50 for lunch and £12.50 for more than 10 hours absence from home.
