Admin Support Co-Ordinator

Digital Fife is a small registered charity (SCO52429) who provide free websites to approximately 170 non-profit groups throughout Fife. They are looking for a volunteer to help undertake a range of administrative tasks to support the organisation to develop and meet the needs of their users and move forward. Typical tasks will involve:
• Liaise between Users and the Board of Trustees
• Maintain up-to-date records of Users
• Develop and maintain procedures in support of the Management Agreement
• Carry out an Annual Audit of Users to ensure they are still active through their websites
This opportunity is key in supporting organisations to deliver their services via the internet.

Experience required

Ability to use Microsoft Office in particular Word, Excel and Outlook. Currently Mailchimp is used for block emails to users. Knowledge of Google Meet for Trustee Meetings is also desirable.
Ability to communicate clearly via email
Ability to keep accurate up to date records
Ability to communicate effectively with Users and respond appropriately to their requests.
Any requests from users for IT support is not part of this role.

Travel details

This is a remote working role with no set hours although we anticipate it taking no more than 3-4 hours per week. Only occasional mailshots and the Annual Audit are likely to take slightly longer.
The role will report to the Secretary of the Board of Trustees.

Travel expenses

We do not anticipate volunteers to incur expenses, due to the at home nature of this role, however we will reimburse any legitimate out of pocket expenses.

Support
Training details

Fife Council provide an administrative officer who is the day-to-day contact for all current site users and would provide initial remote learning training. The application software has been developed to provide online modular training for users and the organisation are looking to extend this to encourage existing users to assist new users when they are starting up new websites.

Minimum age: 16

Volunteers (aged 16-25) taking part in this opportunity are eligible to claim Saltire Awards hours for their activity.
